Gym software kaise chunein: India ka buyer's checklist
Gym management software in India, and how to choose it.
Short answer
Choose gym management software by the jobs it must do every day: billing with GST invoices, UPI and autopay collections, a CRM for leads, WhatsApp renewal reminders, attendance and reports your staff will actually use. Check data export and support before you sign. Software records the work; people still sell, call and renew.

What gym management software must do
Most owners start looking for gym software after a bad month: a register that does not match the cash, a trainer who left with his clients' numbers on his phone, or a list of members whose plans ended weeks ago and nobody called. The software you pick should close exactly those gaps. A long feature list does not; a short list of jobs done every day does.
Write down the jobs first, then judge every product against them. For an Indian gym that is already running, these are the jobs that matter:
- Memberships and billing: sell, upgrade, freeze and transfer plans, with a GST invoice for every payment.
- Payments: UPI, cards, cash and partial payments recorded against the member, so collections match the bank.
- Lead CRM: every enquiry captured with its source, assigned to one person and followed up the same day.
- Renewals: who is due this week, who was called, what they said and who still needs a call.
- Attendance: who came today, and who has gone quiet and needs a nudge before the plan runs out.
- Personal training: PT plans, sessions and which trainer sold what.
- Staff and permissions: who can give a discount, delete an entry or see the reports.
- Reports: revenue, collections, dues, renewals and cost per lead, on one screen the owner reads every week.
If a product cannot do the first four well, the rest does not matter. To see what that list looks like inside one product, look at WTF Go, the gym management software every WTF gym runs on. To see where the software stops and people take over, read the gym management system guide.
One more test before you look at screens: who will type into it? If the front desk, the trainers and the floor manager will not use it every day, the reports will be empty, whatever the software can do. Bring the person who sits at your front desk to every demo.
India-specific checks before you buy
Software built for gyms abroad often fails on the details an Indian gym lives with every day. Check these six before you compare prices.
GST invoices on every plan
Every membership, PT plan and renewal needs a proper GST invoice, with your GSTIN, the member's details and the right tax line. Gym services now carry GST at 5% without input tax credit (SAC 999723), so the software must let you set the rate yourself and change it when the rules change, without a vendor ticket. Ask to see an invoice for a partial payment and a freeze, not only a fresh joining. Confirm the tax treatment for your own gym with your chartered accountant.
UPI, autopay and payment links
Most members pay by UPI today. The software should record a UPI payment against the right member without the desk retyping it, send a payment link on the member's phone for dues and renewals, and, if you sell monthly plans, support autopay so the renewal does not depend on someone remembering. Ask how a failed autopay shows up, and who sees it.
WhatsApp renewal reminders
Your members read WhatsApp, not email. Renewal reminders, dues reminders and birthday or comeback messages should go out on WhatsApp from the gym's business number, on a schedule, and the reply should land with a person who can act on it. Ask whether the messages use approved templates and what each message costs you.
Staff who work in Hindi and English
Your front desk and trainers may be more at home in Hindi than in English. Screens with clear words, short forms and a phone app for trainers matter more than a long settings menu. Ask a trainer to add a PT session during the demo, on his own phone, without help.
Full data export
Your member list is the business. You should be able to export all of it, any time, without asking: members, plans, payments, dues, leads and attendance, in a spreadsheet you can open. If the export is partial or paid, you are renting your own data.
Support when something breaks
Billing breaks on the first of the month, when renewals peak. Ask who answers, on which channel, in which language and how fast, and ask a gym already on the software what happened the last time something broke. Setup help and staff training in the first weeks count as much as the product.
The buyer's checklist
Take this table to every demo, ours included. A product does not need a perfect score; it needs good answers on the rows your gym depends on.
| Ask this | A good answer | A warning sign |
|---|---|---|
| Can it make a GST invoice for every payment? | Yes, with your GSTIN and a rate you can change | Invoices only from a separate tool |
| How does a UPI payment get recorded? | Against the member, without retyping | The desk writes it in a register first |
| Can members pay by link or autopay? | Payment links and autopay, with failures shown | Only cash and card at the counter |
| Do renewal reminders go out on WhatsApp? | Scheduled, from the gym's number, replies to a person | Only SMS or email |
| Does every lead get an owner and a follow-up date? | Yes, with the source recorded | Leads sit in a notebook or a phone |
| Can I see who is due for renewal this week? | One list, with call notes | You have to build a report each time |
| Can my desk and trainers use it without help? | Yes, on their own phones | Only the owner understands it |
| Can I export all my data, any time? | Yes, everything, in a spreadsheet | Partial export, or a fee for it |
| Who answers when billing breaks? | A named team, a channel and a response time | A ticket and a wait |
| What does it cost in the second year? | The same, written down | Per-member or per-feature charges that grow |
| What happens to my data if I leave? | You take all of it with you | No clear answer |
We do not rank other products. Judge any software, WTF Go included, on these rows.
Gym billing software, gym CRM or a gym management app?
Owners search for these three as if they were different products. In a gym they are three views of the same member, and they work only when they sit on one record.
Gym billing software
Billing is plans, payments, dues, invoices and receipts. It is where most owners start, because cash is the first thing that leaks. On its own it tells you who paid; it does not tell you who is about to leave. See gym payment collection for the routine behind the screen.
Gym CRM
A CRM is every enquiry and every member conversation: where the lead came from, who called, what was offered and what happens next. It is what turns a walk-in, a call or an ad lead into a joining, and an expiring member into a renewal. A gym CRM that does not see billing cannot tell you which leads paid. More on the follow-up itself in gym lead generation.
Gym management app
The app is what members, trainers and the owner carry on their phones: check-in, plan status, renewals and workouts for the member; sessions and notes for the trainer; revenue and dues for the owner. An app on top of a messy database shows wrong numbers faster. Read member app features before you choose one.
Buy them as one system where you can. Three tools that do not share a member record mean three registers, and the desk will keep the one that is easiest, usually the paper one.
What it costs: software alone vs software plus an operator
Software prices vary by vendor, by member count and by the number of branches, so we do not quote anyone else's. The headline subscription is rarely the whole bill. Ask every vendor about each line below, in writing, before you compare two quotes.
| Cost line | Ask the vendor |
|---|---|
| Subscription | Is it charged per month, per year, per branch or per member, and what happens to it as members grow? |
| Setup and data migration | Is moving your old member list, dues and renewal dates included, or billed on top? |
| Staff training | How many sessions, in which language, and is training a new desk hire later charged? |
| WhatsApp messages | Is every template message billed on top of the subscription, and at what rate? |
| Payment collection | Which gateway collects UPI, card and autopay payments, and what does each collection cost? |
| Add-ons | Are the member app, the trainer app, extra reports or a second branch priced separately? |
| Leaving | Is a full export of your data free on the day you move? |
Then add the line no software quote covers: someone to run the routine the software records. A manager costs ₹40–60K/month + hidden costs. WTF Powered is ₹35,000 + GST a month for the whole operating service, with WTF Go included free and no revenue share. For the two laid side by side, line by line, read the gym management system guide; pricing shows what sits outside the fee.
Software alone is the right buy when you already have a manager who runs the routine and only needs the records. Software plus an operator is the right buy when the routine itself is what keeps breaking.
Free software, demos and switching
A free plan or a trial is a way to test a product, not a reason to choose it. If you are weighing free software for a small gym, the gym management system guide lists the questions to settle before your member list goes in.
Run every demo on your own gym, not the vendor's sample. A short script works:
- Join a new member on a monthly plan, collect by UPI and print the GST invoice.
- Freeze a member, then renew one on a payment link.
- Add a walk-in lead, assign it and set the follow-up.
- Pull this week's renewals list and the dues list.
- Export everything you just entered.
If you are switching, clean the data first: remove duplicate members, mark who is active, confirm dues and renewal dates. Dirty data in new software gives you clean-looking confusion. Move in a quiet week, not at the start of the month, run the old register beside the new one until the numbers match, and train the desk before go-live, not after.
Where WTF Go fits
WTF Go is the software all 260+ WTF gyms run on: memberships and billing with a GST invoice on every plan, payments by UPI, cards, partial payments and cash, a CRM with Meta leads coming straight in, retention and renewals, personal training, reports, staff permissions, and apps for the owner, the member and the trainer. Any gym can buy it on its own at wtfgos.com; a WTF Powered partner gym pays no licence fee for it.
Inside WTF Powered it is the instrument, not the product. The product is the WTF team that uses it every day: calling the renewals list, following up the leads, training the desk and reviewing the numbers with you every week. Software alone does not sell, hire or renew. That is the point of the gym management system guide, and of the gym management guide on the daily rhythm.
Judge WTF Go on the checklist above like any other product, and see the full feature list on the gym management software page. If you want the software and the people who run it, book the free audit.

Which daily jobs should gym software handle in an Indian gym?
It should run a gym's records: memberships, billing and GST invoices, payments, leads, renewals, attendance, personal training, staff permissions and reports, on one member record. It records the work; people still sell, call and renew.
How do I choose gym management software in India?
List the jobs it must do every day, then check the India details: GST invoices, UPI and autopay, payment links, WhatsApp renewal reminders, screens your Hindi and English speaking staff can use, full data export and real support. Run the demo on your own gym's data.
What is the difference between gym billing software and a gym CRM?
Billing software handles plans, payments, dues and invoices. A CRM handles enquiries and conversations: where a lead came from, who called and what happens next. A gym needs both on the same member record, so you can see which leads paid and which members are about to leave.
Does gym software need to make GST invoices?
Yes. Every membership, PT plan and renewal needs a proper invoice. Gym services now carry GST at 5% without input tax credit, so the rate should be a setting you control. Confirm your own tax treatment with your chartered accountant.
Can gym software collect payments by UPI and autopay?
Good software records UPI payments against the member, sends payment links for dues and renewals, and supports autopay for monthly plans, with failed payments shown to someone who can act. Ask to see each of these in the demo.
Can gym software send WhatsApp renewal reminders?
Many products can. Check that reminders go from the gym's own business number on a schedule, that replies reach a person, and what each message costs. A reminder nobody follows up is only a notification.
How is a gym management app different from gym software?
The app is the phone side of the same software: check-in, plan status and renewals for members; sessions and notes for trainers; revenue and dues for the owner. It is only as accurate as the database behind it.
What should I test in a gym software demo?
Run it on your own gym, not a sample: join a member on a monthly plan and collect by UPI, freeze one and renew another on a payment link, add a walk-in lead with a follow-up date, pull this week's renewals and dues, then export everything you entered.
How much does gym management software cost in India?
Prices vary by vendor, member count and branches, so we do not quote other products. WTF Go is included free for WTF Powered partner gyms, inside a flat fee of ₹35,000 + GST a month for the whole operating service, and is also sold on its own at wtfgos.com.
How do I switch gym software without losing data?
Export everything from the old system, clean duplicates and dues, confirm renewal dates, and run the old and new side by side until the numbers match. Move in a quiet week and train the desk before go-live.
Will gym software increase my renewals?
Not by itself. Software shows who is due; somebody still has to call, sell and follow up. That is why WTF Powered comes with a WTF team that runs the gym every day, with WTF Go as the tool it uses.
Is WTF Go sold separately?
Yes, as a standalone product at wtfgos.com. For WTF Powered partner gyms it is included in the fee, with no licence charge.
