Gym SOPs: opening se closing tak ka poora checklist
Gym SOPs checklist for the front desk, floor and trainers.
Short answer
A gym SOP is a written routine anyone on your team can follow. Cover the front desk, sales follow-up, floor and hygiene, trainer shifts, payments, complaints and renewals, and check them opening to closing. WTF's first mark for a partner gym is day 90: SOPs live, CRM running, staff trained, renewal calendar on.

The areas an SOP has to cover
- Front desk: greeting, check-in, enquiry log, payment and receipt.
- Sales follow-up: who calls a lead, by when, with what script.
- Floor and hygiene: cleaning schedule, equipment checks, changing rooms. See the hygiene checklist.
- Trainer shifts: who is on the floor, who covers, what each shift reports.
- Payments and cash: collections, receipts, the daily closing count. See payment collection.
- Complaints: who logs it, who answers it, how it closes. See complaint handling.
- Renewals: the calendar and the call list.
Write each as steps a new hire could follow on day one, with a name against every step.
A starting daily checklist
Adapt this to your floor; it is a starting point, not a template to copy line for line.
Opening
- Unlock, lights, power, music, air conditioning and ventilation.
- Walk the floor: equipment in place, nothing broken, floor clean.
- Front desk staffed, enquiry log and payment system ready.
- Trainers on the floor and their shifts confirmed.
During the day
- Every enquiry logged and called back the same day.
- Members whose plans end this week called.
- Peak hour covered by the roster; see peak hour management.
- Cleaning rounds ticked off.
Closing
- Cash and payments counted and matched with the software.
- Attendance and joins for the day noted.
- Complaints logged, with an owner for each.
- Equipment issues reported, then lights and power off, doors locked.
Weekly and monthly reviews
Routines only stick when someone reviews them. Weekly: leads and how many were called back, joins, renewals against the calendar, cost per lead and trainer performance. Monthly: revenue, costs and profit, compared with the plan. WTF holds a weekly call and a monthly profit and loss review with every partner gym; see what we run.

What is an SOP in a gym?
A standard operating procedure: a written routine, such as opening, closing, handling an enquiry or a complaint, that anyone on the team can follow and that gives the same result each time.
What should a gym opening checklist include?
Unlocking, power and lights, a floor walk for equipment and cleanliness, the front desk and enquiry log ready, trainers confirmed on the floor, and the payment system running.
What should a gym closing checklist include?
Count and match cash and payments, note attendance and joins, log complaints with owners, report equipment issues, then switch off and lock up.
How often should gym SOPs be reviewed?
Review the numbers weekly and the routines monthly. Update an SOP whenever a step keeps failing, and make sure every new hire is trained on the current version.
